Create a Completely New Project

Since each item must be assigned to a workspace or project, you can only use the system if at least one such workspace has been created and you have a role with the appropriate rights in it.

You must be logged in as a system administrator or system manager if you want to create a workspace at the highest hierarchy level. You can create sub-workspaces or sub-projects for workspaces for which you have workspace administrator rights.

  1. To create a new project, alternatively

    1. Go to Perspective Task Management > Task Navigator and there click on “Workspaces” in the upper left corner. Use the context menu (right-click) to create a new workspace or subspace.

    2. Go to Perspective Project Management > Gantt Chart and click on “Workspaces” in the upper left corner. Use the context menu (right-click) to create a new workspace or subspace.

    3. to Perspective Management > Workspaces > Add Workspace or Perspective Management > Workspaces > Add Subspace.

  2. Fill in the forms on the first tab (“Basic Settings”). Use the “Context Help” if you are unsure about the meaning of an entry.

    1. Select a suitable workspace type. This broadly determines the configuration of the new workspace (see Workspace Types).

      Attention

The selected workspace type must have the item type “Task” (or another type with type flag “Task”). Only items with this type will be displayed in the Gantt chart.

    2. A workspace has a workspace state that determines its visibility to regular users and what can be done in that workspace. For more information, see Range Status.

    3. Upload a suitable avatar image in SVG format or as a PNG (32x32 pixels or more).

    4. Links help you create relationships between items, e.g., end-to-start relationships in classic project management or “will be implemented by” relationships between requirements or user stories and the tasks that implement them. For more information on linking, see Linking Items.

      Note

You must have task links enabled so that you can later add dependencies to projects in the Gantt chart.

    5. If your system is configured to use workspace-specific task numbers, you must enter a globally unique prefix such as ‘TRP’ for each workspace. The task number for an item is then formed from the prefix, followed by a hyphen and a sequence number.

    6. You can enable versioning, which allows you to manage documents in the Wiki view and compare and edit them in different versions (see Version Management).

    7. If you want to plan and track efforts, activate work and cost management. Costs are for travel and material expenses, not for the cost of the work expended.

    8. Select a base calendar to account for holidays and other non-working time.

  3. Select the “Preset Values” tab. The values set here are used if input masks do not contain the appropriate fields or if an item is to be created by e-mail.

  4. You can link each workspace to an email account. If an e-mail is sent to this account, the system creates a new item. See Incoming Email Connection for more information.

    Note

Use an email account for only one workspace at a time. So, for example, do not use the system-wide e-mail inbox as a project-specific e-mail account. This will lead to incorrect behavior.

    Note

You must have set up the email account on your mail server before using it use it here.

  5. Click the “Save” button on the toolbar.

Your project or workspace is now configured to create and manage items. To make the workspace, you need to assign permissions to team members via roles (see Assign Roles).
