Working with the Allocation View

The Allocation View allows you to see and manage the use of your resources (people, rooms, equipment, and capabilities) over time.

To schedule resources or see the utilization of your team members, use the Allocation View in the Task Navigator.

Note

In order to have the “Utilization” View available for selection, you must have the “Gantt” feature enabled for the corresponding user (see Manage Regular Users).

Project view and organization view

The Allocation View offers two views:

  • Project view for project managers

  • Organization view for line managers

For the project view, the project manager selects their project or projects in the left filter workspace. They then see the allocation for all resources assigned to this project on the right. If a resource also serves other projects, the resulting allocation is shown only in summary form.

For the organizational view, the user must be first set in their profile as the team leader of an organizational unit. They can then select the organizational unit assigned to them in the filter workspace on the left, including all subordinate organizational units. For each direct or indirect member of an organizational unit, the corresponding workload is displayed in the right workspace.

Occupancy display

The top row (A) shows the total occupancy of the associated team member, based on their daily working hours. This row turns red when there is an overload.

The rows at the bottom (B) show the workload caused by each item. The height of the lower part of the line illustrates the occupancy percentage.

You can drag the bars to change start and end dates and move tasks to another team member.

Attention

This view does not take into account dependencies between items. When you move items on the timeline, dependent tasks are not moved with them. Use the Gantt view if you need this behavior.
